What the role is

This is a fast paced and varied role with responsibilities across several functions. The core role being managing and developing a team with overall responsibility for Maintenance and office Facilities operations across our 2 core Head Office functions, Photo Studio, Retail stores and 5 Carlos Place. 

What you’ll be doing

Facilities and Maintenance management;

Manage all Head offices and Retail Store Portfolio maintenance service to provide a proactive and cost-effective delivery to include the following criteria;

•    Reactive maintenance evaluation & response management.
•    Planned maintenance, procurement & contract management.
•    Utilities, procurement & contract management.
•    Store security. Including; Emergency & Out of hours Procedures.
•    Compliance & Legal responsibilities.
•    Insurance Responsibilities & claims.
•    Store Performance – M&E.
•    Green Policy & energy efficiency.
•    Equipment evaluation & performance.
•    Contractor Approval & Evaluation

Health & Safety (H&S) at company level:

Work alongside other key stakeholders to ensure compliance and H&S policies and procedures are upheld.   

•    Participation in the quarterly H&S committee meetings, ensuring appropriate representation, planning the annual agenda programme, ensuring all actions captured and delivered.
•    Identification of training needs across the estate and delivering training materials;
•    Overall management of H & S incident capture, reporting and follow up procedures across the business;

Environmental;
•    Key representation on the ECO Age committee reporting on the impact of energy consumption and management; waste management; carbon foot print to help set goals and targets to improve our environmental management in line with our CSR policy 
•    On-going management of the targets within the organisation as well as relevant external suppliers and contractors to ensure the objectives are delivered in line with the agreed target dates. 

Office management;

•    Overall responsibility for head office maintenance
•    Overall management of all external couriers for incoming and external samples and deliveries. 
•    Liaising with Shard and Here East our landlords for HQ and other third-party contractors involved in the proactive management of an active working environment. 
•    Maintaining a welcoming, safe and comfortable environment
•    Work closely with Head of Property for Budget and forecasting management 
•    Overall management of head office procurement office resources, bar stock, Stationery and office moves/changes
•    Management of company leased car fleet and pool cars. 


About you


•    Proven ability to lead and proactively manage a small team in a dynamic and demanding environment
•    Specific experience managing Facilities and maintenance functions, ideally within a retail environment. 
•    Strong budgeting and performance evaluation skills
•    Experience managing a dynamic fast paced office and working with constantly changing priorities
•    Experience overseeing health & safety matters across multiple locations, with good understanding of all relevant H&S laws, standards and practices.
•    Adaptable, determined and pragmatic with excellent communication and influencing skills
•    Strong organizational and planning skills
•    An understanding of business continuity 
•    A robust proactive approach with the ability to meet timescales and deadlines. 
•    Practical and analytical approach.
•    PC literate with a good working knowledge of MS Office.
•    Able to build rapport and form good working relationships
